The documents a buyer receives, and how they are arranged

Baiwei Pets arranges the paperwork behind your own import file. Each document is arranged with your order and named on your quotation. Which ones you need depends on your market, your product and the checks your own customers ask you to make.

The short answer.
Name the documents you need in your enquiry, and they are named back to you on your quotation.
Each one is arranged with your order and travels with the shipment.
Any address block, care label or barcode your market asks for is part of your artwork, and a proof is sent before printing.

Who does what

The party that places goods on a destination market carries the registration, marking and reporting duties there. That is your side of the line, or your customer's. Baiwei Pets supplies the paperwork behind those duties: material declarations, test reports, packing data and marking records.

Your own adviser decides which rules apply to your product in your market. Ask for the documents by name and they are quoted by name.

Every family, every shipment

These are the documents buyers ask for across the range, whatever they buy.

Material declarationNames the materials in the product and in its packing, part by part.
Migration of certain elements reportA migration report on the elements your own specification names. Retail buyers of pet ranges usually write the method into that specification themselves.
Origin marking recordA photograph showing where and how the country-of-origin mark is applied. US buyers ask that the mark survive to the person who buys the product.
Pallet treatment markWhere your load ships on solid-wood pallets, a photograph of the treatment mark is arranged with your order. There is no paper to go with it.
Carton data sheetCarton dimensions, pieces per carton and how full the carton is. European buyers ask for these figures for their own packaging reporting.

Cat scratchers, cat houses and cardboard toys

Corrugated card is a plant product, so this group is about fibre and plant material.

Board and construction declarationNames the board and any felt or plant-fibre part in the product.
Plant-material declaration for AustraliaConfirms that plant parts are bark-free, dry and free of soil and insects, with any heat-treatment or fumigation record. Australian buyers ask for it because plant material can be held at the border.
Species and harvest-country data sheetThe botanical species, the country of harvest and the wood weight per unit. US buyers ask for these figures for the plant-product declaration they file at entry.
Fibre origin and legality dataBuyers importing wood and paper goods into the EU increasingly ask for the harvest origin and the legality data behind the fibre.

Pet bowls and feeders

Bowls attract the most document requests of any family, because they touch food.

Food-contact migration reportRun to the method your market names, per material and per colour. US buyers ask for it per component, including any lid, seal or coating.
European food-contact testingEuropean buyers of bowls ask for migration testing as a matter of course, and German buyers usually name their own national method.
Ceramic lead and cadmium migrationA migration report for ceramic bowls, with a written declaration naming the producing company and the importer.
Heavy metal and phthalate screeningLead, cadmium and phthalates. Buyers selling into California ask for this one by name.
Steel grade statementThe steel bowls are 304 stainless steel. A mill certificate naming the grade for your own file is arranged with your order and named on your quotation.

Cat toys, cat beds and textile parts

Felt shells, beds and catnip inserts each raise their own question.

Catnip declarationFor a catnip insert: the species, the country of origin and any heat treatment applied to it.
Textile substance screeningA substance screening on textile and felt parts, with azo dye and formaldehyde results where a buyer asks for them.

Your artwork, your labels

Any address block, care label or barcode your market asks for is part of your artwork. Send the text and Baiwei Pets sends a proof before anything is printed. Canadian buyers usually ask for bilingual English and French retail packaging, and that is an artwork job.

Artwork, the printing format and any artwork cost are confirmed on your quotation.

What to confirm on your quotation.
  • Which documents exist for the exact product you order is confirmed on your quotation.
  • The market each document is written for is confirmed on your quotation.
  • Packaging format and artwork cost are confirmed on your quotation.
  • Carton dimensions and pieces per carton for your reference are confirmed on your quotation.
  • The trade term, the shipping mode and who arranges freight are confirmed on your quotation.
How a document request runs

Name the documents in your enquiry, with the destination country and the product. Your quotation names each document that comes with the order.

When and how each one reaches you is confirmed on your quotation.
